1. Introduction & Operating Entity
These Terms & Conditions ("Terms") govern access to and use of this website, including all digital forms, enquiry endpoints, and direct communication conduits (including WhatsApp, LINE, and verified email) operated by GTR Auto.
2. Acceptance of These Terms
By accessing, browsing, or submitting any request through this website, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree to these Terms, you must immediately discontinue use of this website.
Where you subsequently enter into a definitive transaction—such as a vehicle purchase invoice, auction bidding agreement, export shipping contract, or vehicle rental lease—the specific written terms of that executed agreement shall supersede and govern over any general website guidance in the event of direct inconsistency. Nothing in these Terms limits any non-waivable statutory rights provided to consumers under applicable Japanese consumer protection legislation.
3. Purpose of the Website
This website operates strictly as an informational and enquiry facilitation platform connecting prospective buyers, collectors, importers, and vehicle owners with GTR Auto’s Japan-based automotive sourcing, export, spare parts, vehicle maintenance, and rental operations.
4. Enquiries, Quotations and Confirmations
Submitting an enquiry through an online web form, direct email, WhatsApp, or LINE initiates a dialogue with our logistics and vehicle specialists. Any automated email or messaging response generated by our server serves solely as an acknowledgment that your transmission was received; it does not constitute acceptance of an order or a reservation of inventory.
Quotations issued by GTR Auto are valid solely for the duration specified on the official written proforma or quote sheet. Because the Japanese automotive market, ocean freight tariffs, and currency exchange rates fluctuate rapidly, expired quotations are null and void unless formally re-validated in writing.
5. Information Provided by Users
When submitting requests for vehicles, replacement parts, or vehicle appraisals, you represent and warrant that all data provided—including chassis numbers (VIN), vehicle registration details, mileage statements, delivery destinations, and contact identities—is truthful, accurate, and current.
Users are strictly prohibited from uploading corrupted files, fraudulent documentation, stolen vehicle identity credentials, or transmitting messages containing malicious code or deceptive commercial solicitations.
6. Vehicle Listings & Inventory Representation
Vehicles presented on this website are drawn from active inventory in Japan, consignment partner showrooms, and pre-screened dealer networks. All inventory is offered subject to prior sale. A vehicle displayed on the website may have been reserved or sold prior to the most recent page refresh.
While GTR Auto makes reasonable efforts to present accurate mechanical specifications, option codes, auction grades, and odometer readings, photography variations, monitor calibrations, and typographic errors can occur. Submitting an online vehicle enquiry does not lock, reserve, or place a temporary hold on any vehicle.
7. Vehicle Sourcing Requests (Custom Search)
When a client commissions GTR Auto to locate a specific chassis, rare JDM classic, European homologation model, or commercial unit, GTR Auto conducts targeted sourcing through national dealer exchanges, private collections, and Japanese auction circuits.
GTR Auto does not guarantee that a requested model will be located within an arbitrary timeframe or at an unrealistic target budget. Budgetary targets provided during initial consultations are non-binding estimates. If a requested unit cannot be acquired under current market parameters, alternative specifications may be recommended.
8. Japanese Auction Assistance
Access to Japanese vehicle auctions (including USS, TAA, CAA, JU, and ARAI) requires the execution of an explicit Auction Bidding Mandate and the placement of a refundable bidding security deposit prior to any live bid execution.
Bidding Authority Protocol: GTR Auto will never enter an auction bid on behalf of a client without explicit, written confirmation specifying the exact auction lot number, maximum bid ceiling in Japanese Yen (JPY), and verified deposit clearance.
No Guaranteed Success: Auction bidding is inherently competitive. GTR Auto does not promise or warrant that a bid will win any given lot. Bidding fees, auction house transaction fees, and domestic transport from auction yards to port facilities are governed strictly by the dedicated Auction Agreement.
9. Vehicle Selling Enquiries (Sell Your Car)
Submitting vehicle specifications, photographs, or shaken inspection papers through our "Sell Your Car" portal does not constitute an agreement by GTR Auto to purchase your vehicle. Any initial price indication generated via digital submission is an approximate, preliminary estimate only.
Final purchase offers are contingent upon a hands-on physical inspection by our licensed appraisers in Japan, structural verification, title verification, and confirmation that the vehicle is free and clear of all liens, financial encumbrances, or tax disputes.
10. Trade-In & Replacement Protocols
Trade-in valuations are established based on current Japanese domestic wholesale indices and structural condition assessments. Trade-in credits applied toward the acquisition of another vehicle within our inventory are subject to the continued availability of the selected replacement unit and the simultaneous transfer of clear, unencumbered vehicle registration documentation.
11. Spare Parts Enquiries & Sourcing
Due to intricate variations between Japanese domestic market (JDM) and export-market vehicle specifications, all spare parts requests must be accompanied by an exact chassis/frame number (e.g., BNR34-XXXXXX) or official OEM part number.
Compatibility confirmation is the mutual responsibility of the client and our parts desk prior to order execution. Bulk commercial container parts requests require mutually agreed packing manifests.
12. Vehicle and Parts Export Compliance
GTR Auto facilitates vehicle export from major Japanese ports (Yokohama, Nagoya, Kobe, Osaka, Hakata) to international destinations worldwide, including the United Arab Emirates, Thailand, North America, Europe, Australia, and New Zealand.
Destination Regulatory Compliance: It is the exclusive responsibility of the international customer to verify that the vehicle or parts being purchased comply fully with the import regulations, age restrictions (e.g., 25-year rule, 15-year rule), emissions standards, left-hand-drive/right-hand-drive rules, and customs requirements of the destination country.
Duties, Tariffs, and Local Taxes: Unless an explicit Delivered Duty Paid (DDP) contract is executed, all destination port handling fees, customs clearance charges, import tariffs, excise taxes, VAT, and vehicle compliance testing at the destination port remain the sole financial obligation of the purchaser.
Shipping Methods: Maritime transport is executed via Roll-on/Roll-off (Ro-Ro) vessels or shared/dedicated shipping containers depending on vehicle type, running condition, and destination port capability. Ocean carrier schedules and transit times are determined by third-party shipping lines and cannot be guaranteed by GTR Auto.
13. Pricing, Quotations and Payment Channels
Unless explicitly designated otherwise, pricing displayed on the website represents vehicle FOB (Free On Board) Japan estimates or domestic retail indications. Final invoices explicitly stipulate the agreed currency (Japanese Yen JPY or United States Dollars USD), ocean freight charges, marine insurance, and applicable Japanese consumption tax where legally required.
14. Inland Transport and Maritime Logistics
Inland vehicle transport within Japan (from auction houses, private sellers, or regional holding yards to designated port customs areas) is contracted through licensed domestic vehicle transporters. Transit schedules are contingent upon vehicle running condition, low-clearance requirements for modified sports cars, regional highway regulations, and seasonal weather incidents (including typhoons and heavy snowfall). GTR Auto is not liable for carrier-driven scheduling adjustments once a consignment is transferred to the carrier.
15. Repair and Roadside-Assistance Enquiries
Enquiries for mechanical servicing, maintenance, performance tuning, shaken vehicle inspection, and regional roadside support are evaluated based on the current workload capacity of our Tokyo and Kanagawa partner facilities.
Non-Emergency Notice: Web forms, WhatsApp, and LINE messages submitted via this website are NOT monitored as an emergency dispatch service. In the event of a critical vehicle breakdown or life safety hazard on Japanese public expressways, users must immediately contact Japanese emergency services (110 for Police, 119 for Fire/Ambulance) or the Japan Automobile Federation (JAF) roadside emergency hotline.
16. Rental Cars Service Enquiries
Rental vehicle availability schedules presented online are indicative and do not represent a guaranteed booking. A rental reservation is finalized only upon execution of a formal Japanese Car Rental Agreement, full payment of required rental fees and security deposits, and verification of driver licensing credentials.
1. A valid Japanese Driver's License; OR
2. A valid International Driving Permit (IDP) issued strictly under the Geneva Convention on Road Traffic of 19 September 1949, accompanied by the driver's original home country passport; OR
3. A foreign driver's license from authorized treaty jurisdictions (Switzerland, Germany, France, Belgium, Monaco, Taiwan) accompanied by an authorized Japanese translation issued by JAF or an accredited embassy.
Failure to present qualifying documentation at vehicle pickup mandates immediate cancellation without refund.
17. Camping Equipment Rental Terms
Camping equipment rental packages offered by GTR Auto cover portable outdoor equipment (such as all-weather tents, outdoor cookstoves, sleeping systems, lanterns, and outdoor furniture) intended for use alongside vehicle travel in Japan.
Scope Notice: Camping equipment rental does NOT constitute a recreational vehicle (campervan or motorhome) rental lease unless explicitly documented as a registered campervan unit under Section 16. Renters are solely responsible for operating stoves, open flames, and equipment in full compliance with Japanese campsite regulations, fire safety protocols, and regional environmental rules. Damaged, uncleaned, or missing equipment will incur replacement and service fees.
18. Cancellations, Returns and Refunds
Due to the diverse nature of services provided by GTR Auto, cancellation and refund policies are structured according to specific operational categories:
19. Inspection, Condition Reports and Warranties
Unless explicitly covered by an active manufacturer warranty or an executed written mechanical service guarantee, pre-owned vehicles and secondhand automotive components exported internationally are provided on a verified inspection basis.
Third-party pre-shipment inspections (including JEVIC, JAAI, EAA, or certified Japanese auction inspection sheets) represent an evaluation of the vehicle’s condition at the precise time of physical examination in Japan. International transit conditions, maritime environmental factors, and prolonged port storage following vessel arrival fall beyond the scope of pre-shipment certification.
20. Customer Responsibilities
Customers agree to: (a) diligently review all proforma invoices, vehicle specifications, and auction condition translations prior to payment; (b) execute import procedures in strict accordance with the laws of their jurisdiction; (c) maintain active contact details; and (d) ensure that all payments originate from verified bank accounts registered in the customer's legal personal or corporate name.
21. Acceptable Website Use
You agree not to use this website to: (a) extract, scrape, harvest, or aggregate vehicle listing data, pricing matrices, or high-resolution imagery using automated crawlers, bots, or extraction scripts without express written consent; (b) submit false or misleading vehicle inquiries; (c) attempt unauthorized access to server infrastructure or client communication portals; or (d) interfere with the regular operational integrity of our digital platforms.
22. Intellectual Property
All website architecture, text, layout structures, visual branding, proprietary photography, and software code are the intellectual property of GTR Auto and are protected by Japanese and international copyright, trademark, and intellectual property conventions.
23. Third-Party Services and External Links
This website provides links and communication bridges to external third-party services—including WhatsApp, LINE, Google Maps, maritime vessel tracking systems, and exchange rate data feeds. GTR Auto does not operate these independent platforms, does not control their operational stability, and assumes no responsibility for third-party privacy practices or terms of service.
24. Website Availability & Technical Errors
While GTR Auto seeks to ensure 24/7 server availability and content accuracy, the website is provided on an "as is" and "as available" basis. GTR Auto reserves the right to suspend or restrict access to parts of the site for scheduled maintenance, server upgrades, or inventory database synchronizations without prior notice. In the event a vehicle or part is erroneously displayed with an incorrect figure due to a typographical or system error, GTR Auto retains the right to cancel or decline enquiries based on the erroneous listing.
25. Limitation of Liability
To the fullest extent permitted under applicable law, GTR Auto, its directors, officers, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of: (a) the use of or inability to use this website; (b) temporary transmission failures via enquiry forms, WhatsApp, or LINE; or (c) decisions made based upon general informative guidance published on this website.
Where definitive commercial contracts are executed, GTR Auto’s liability shall be strictly defined and bounded by the liability clauses contained within that specific, signed transaction document.
26. Events Outside Reasonable Control (Force Majeure)
GTR Auto shall not be held liable or responsible for any failure to perform, or delay in performance of, any obligations under an enquiry or transaction caused by events outside our reasonable control ("Force Majeure Event"), including but not limited to: natural disasters, earthquakes, volcanic eruptions, typhoons, tsunamis, armed conflicts, international trade embargos, port strikes, maritime carrier cancellations, severe customs terminal congestion, or unforeseen modifications to vehicle export/import statutory laws.
27. Privacy and Personal Data Handling
All personal information collected through website forms, messaging applications, identity verification uploads, and email communication is processed in strict compliance with Japanese Act on the Protection of Personal Information (APPI) and our dedicated Privacy Policy. For comprehensive information regarding cookies, international data transfers, and retention schedules, please review the GTR Auto Privacy Policy.
28. Amendments to These Terms
GTR Auto reserves the right to revise and amend these Terms at any time to reflect updates in operational practices, international trade guidelines, Japanese logistics laws, or platform enhancements. The most recent version will always be indicated via the "Last Updated" metadata token at the head of this document. Continued use of the website following amendments constitutes acceptance of the modified Terms.
29. Governing Law & Dispute Resolution
These Terms, and any dispute or claim arising out of or in connection with them or their subject matter, shall be governed by and construed in accordance with the laws of Japan [Subject to Final Legal Verification].
Good-Faith Resolution: In the event of any disagreement or dispute regarding an enquiry or transaction, the parties agree to first seek an amicable commercial resolution through direct, good-faith consultation.
Language Precedence: In the event of any discrepancy or conflict between the English language version of these Terms and any translation prepared into Japanese or another language, the English formulation shall prevail in commercial interpretation, except where Japanese statutory law mandatorily requires otherwise.
30. General Provisions
Severability: If any provision of these Terms is found by any court or administrative body of competent jurisdiction to be invalid or unenforceable, such invalidity shall not affect the remaining provisions, which shall remain in full force and effect.
No Waiver: No failure or delay by GTR Auto to exercise any right or remedy provided under these Terms or by law shall constitute a waiver of that or any other right or remedy.
31. Contact Information
For questions, legal notices, or formal clarifications regarding these Terms & Conditions or a specific automotive enquiry, please direct your communication to our Tokyo headquarter.
